ERASMUS+ STUDENT MOBILITY FOR STUDIES – GENERAL PRINCIPLES

Erasmus+ Student Mobility for Studies is implemented within the framework of inter-institutional agreements signed between Ankara Science University and higher education institutions abroad participating in the Erasmus+ Programme. The programme enables registered students to complete a specific part of their studies at a partner university abroad.

Depending on the academic calendar of the host institution, the mobility period may be planned for a minimum of two months or one trimester and a maximum of twelve months within one academic year. Grant amounts and participation conditions may vary depending on the destination country and the relevant contractual period.

Students wishing to participate in Erasmus+ Student Mobility for Studies gain the status of “selected candidate” following the completion of the call, application, evaluation and selection procedures. After this stage, students must complete the required procedures in full before undertaking the mobility.

The process consists of three main stages:

  • Before the mobility,
  • During the mobility,
  • After the mobility.

As application requirements may be updated for each academic year, the most accurate and up-to-date information must be obtained from the official call for applications published for the relevant period. The general framework is provided below.

APPLICATION REQUIREMENTS

Students applying for Erasmus+ Student Mobility for Studies must have a minimum level of academic achievement. The minimum cumulative grade point average is:

  • 2.20 out of 4.00 for associate degree and undergraduate students,
  • 2.50 out of 4.00 for master’s and doctoral students.

During the application process, candidates may use the results of the English Proficiency Examination administered by Ankara Science University or the results of national or international foreign-language examinations accepted in the relevant call for applications.

The conditions relating to the foreign-language score and any minimum language proficiency threshold are specified in the relevant call for applications.

Students participating in the programme must be registered as full-time students and must have a sufficient ECTS course load for the relevant semester. In addition, there must be an active inter-institutional agreement between Ankara Science University and the intended host institution covering the student’s field and level of study.

A- APPLICATION PROCESS

Applications for Erasmus+ mobility are submitted through TURNAPortal, provided by the Turkish National Agency, using the applicant’s e-Government credentials.

Before making their preferences, candidates are strongly advised to conduct detailed research on the universities they wish to attend. Information such as the language of instruction, required language proficiency, course content and academic conditions should be reviewed on the official website of the relevant university.

B- EVALUATION OF APPLICATIONS

Applications are evaluated on the basis of a scoring system in accordance with the announced criteria.

The main evaluation criteria and their respective weights are as follows:

  1. Academic achievement: 50%
  2. Foreign-language proficiency: 50%

Additional points or point deductions are applied in certain circumstances.

Additional points are awarded as follows:

  • Children of martyrs and veterans: +15 points
  • Students with disabilities, provided that their status is documented: +10 points
  • Students subject to a protection or care decision under Law No. 2828: +10 points
  • Students who themselves, or whose first-degree relatives, have received disaster relief assistance from AFAD: +10 points

Point deductions are applied in the following circumstances:

  • Previous participation in the Erasmus+ Programme: −10 points
  • Participation in mobility in the country of citizenship: −10 points
  • Applying for both traineeship and study mobility during the same application period: −10 points from the mobility type prioritised by the student

Point deductions may also be applied in relation to procedural obligations:

  • Failure to attend information meetings without a valid excuse: −5 points in the subsequent application
  • Failure to participate in the mobility after selection without withdrawing within the announced withdrawal period: −10 points in the subsequent application
  • Failure to attend the foreign-language examination without a valid excuse after declaring an intention to take the examination: −5 points in the subsequent application

Note: Students who have previously participated in Erasmus+ mobility are subject only to the applicable point deduction.

The evaluation and selection criteria specified in the Implementation Handbook for the relevant contractual period and in the call for applications published by Ankara Science University shall apply.

C- GRANT SUPPORT

Within the scope of Erasmus+ student mobility, students may receive financial support for the period they spend abroad. The Erasmus+ grant is not intended to cover all expenses incurred abroad; rather, it contributes to the additional costs arising from participation in the mobility activity.

The amount of grant that may be provided to students is determined according to:

  • The destination country,
  • The type of mobility,
  • The duration of the mobility,
  • The relevant contractual period.

 

Erasmus+ Grant Amounts for Student Mobility for Studies – 2026 Contract Period

The monthly grant amount provided to students participating in mobility for studies is determined according to the country group of the destination country.

Top-up Support for Participants with Fewer Opportunities

Participants with fewer opportunities who meet the relevant eligibility requirements and provide the required supporting documents may receive an additional EUR 250 per month in addition to their regular Erasmus+ grant.

The eligibility requirements, accepted supporting documents and application procedure for Top-up Support are specified in the Erasmus+ Implementation Handbook for the relevant contract period and in the application announcement published by our University.

Grant amounts may vary depending on the contract period. The final grant amounts applicable to students are specified in the relevant application announcement and in the grant agreement signed with the student.

 

Activity Duration and Grant Calculation

Students’ activity periods and grant amounts are calculated on an estimated basis before the mobility begins. The academic calendar of the host institution, the start and end dates stated in the Letter of Acceptance, and the relevant mobility documents are taken into account when determining the estimated activity period.

The student’s estimated grant amount is calculated by the Erasmus Coordination Office through the Beneficiary Module (BM), based on the planned mobility dates stated in the Letter of Acceptance. A grant agreement specifying the maximum calculated grant amount and the payment conditions is signed with the student.

Before the mobility, 80% of the estimated total grant amount is transferred as the first payment to the student’s Euro-denominated bank account. The remaining grant amount is paid after the mobility has been completed and the student has submitted all required return documents, taking into account the confirmed activity period.

The final activity period is determined according to the actual start and end dates stated in the Certificate of Attendance and other relevant return documents. Where the actual activity period is shorter than the planned period, the student’s final grant amount is recalculated. Where the first payment exceeds the final total grant amount, the student is required to reimburse the excess amount.

Students’ activity periods may be fully or partially funded, or the mobility may be completed entirely as a zero-grant mobility. Where the activity period is partially funded, the funded period cannot be shorter than the minimum duration determined for the relevant type of mobility. The minimum duration for study mobility and long-term traineeship mobility is two full months.

Participation without a grant does not affect the student’s Erasmus+ mobility status or their academic and administrative obligations under the Programme.

Where a student wishes to extend the activity period, the extension is subject to the approval of the host institution, the relevant academic unit and the Erasmus Coordination Office. Where sufficient funds are available within the relevant project budget, an additional grant may be awarded for the extended period. Where the grant amount is increased, an amendment to the grant agreement must be signed with the student before the mobility ends. Where sufficient funds are not available, the extended period may be completed as a zero-grant period.

Where necessary, grant reductions may be applied in accordance with the relevant implementation rules and the provisions of the grant agreement, taking into account the student’s academic performance, activity period and fulfilment of mobility obligations.

Travel Grant Support Calculations

Travel grant support may be provided to contribute to students’ transportation expenses. For the calculation of this support, the distance between the point of departure and the city where the mobility will take place is determined in kilometres using the distance calculator provided by the European Commission.

The applicable travel grant amount is calculated according to the relevant distance band and the table valid for the contractual period concerned. The amounts indicated in the table cover the total cost of the outward and return journeys and must not be multiplied by two.

Green travel refers to the use of environmentally friendly and low-carbon means of transport. Travel by bus, train and car-sharing may be considered within this scope.

To qualify for green travel support, green means of transport must be used for both the outward and return journeys, and more than half of the total journey must be completed using low-carbon means of transport.

Where necessary, additional individual support may be provided for travel days. In this context, additional grant support may be provided for up to 2 days for standard travel and up to 6 days for green travel before and after the activity.

D- OBLIGATIONS OF SELECTED STUDENTS BEFORE THE MOBILITY

Students selected to participate in the Erasmus+ Programme must complete all required preparations before the beginning of their mobility period.

Before preparing their application documents, students are expected to review the official website of the host university in detail.

It is the student’s responsibility to obtain information about:

  • The academic calendar,
  • Course content,
  • Application deadlines,
  • Required documents.

It is essential that all documents be submitted to the relevant institution within the specified deadlines.

The Erasmus Coordination Office formally nominates the student to the host university. Following the nomination, the host university may conduct the application process directly with the student or, where necessary, communicate through the Erasmus Coordination Office.

Applications may be submitted through the host institution’s own application system or through the method specified by its Erasmus office.

The Online Learning Agreement – OLA, which includes the courses to be taken abroad and the relevant credit information, is prepared under the guidance of the Departmental Erasmus Coordinator.

The document is approved by the student and submitted for approval by the authorised academic representatives of Ankara Science University and the host institution.

All academic details relating to the mobility, including courses, activities and dates, are approved through the OLA system by the student and the relevant coordinators.

As the process is monitored digitally, a printed copy may not be required to be submitted to the Erasmus Coordination Office.

ACADEMIC APPROVAL FORM (BEFORE MOBILITY)

The student is required to prepare the Academic Approval Form (Before Mobility) in accordance with the Learning Agreement in order to determine the equivalents at Ankara Science University of the courses to be taken abroad.

This document is important for establishing, before the mobility period, the courses to be taken abroad and their academic equivalents at Ankara Science University.

OFFICIAL DOCUMENTS AND ADMINISTRATIVE PROCEDURES

Passport

Students must apply to the relevant Provincial Directorate of Population and Citizenship Affairs to obtain a passport.

A copy of the passport page containing the student’s identity information must be submitted to the Erasmus Coordination Office.

Where the validity period of an existing passport is insufficient, the necessary renewal or extension procedures must be completed.

Visa

After obtaining a passport, students must make a visa appointment with the consulate or authorised visa application centre of the destination country.

Preparing and submitting the documents required for the visa application is the student’s responsibility.

The Erasmus Coordination Office provides information and guidance during this process. Once the visa has been issued, a copy of the relevant passport page must be submitted to the Office.

Health Insurance

Students must obtain comprehensive health insurance that is valid in the destination country and covers the entire mobility period.

The insurance policy must cover both outpatient and inpatient treatment.

As coverage requirements and minimum insured amounts may vary by country, students must check the requirements of the relevant country during the visa application process.

A copy of the insurance policy must be submitted to the Erasmus Coordination Office.

Students travelling to countries that have a social security agreement with Türkiye may obtain the relevant documents from the Social Security Institution.

Bank Account

Students who are entitled to receive an Erasmus+ grant must have a euro-denominated bank account opened in their own name.

The relevant account details must be submitted to the Erasmus Coordination Office.

Grant Agreement

The Grant Agreement prepared by the Erasmus Coordination Office must be signed and submitted before the mobility period.

Student Undertaking

The undertaking form that must be signed by the student must be submitted to the Erasmus Coordination Office.

Language Support

Students participating in mobility activities may benefit from the Online Language Support resources available through EU Academy in order to improve their foreign-language skills.

E- PROCEDURES DURING THE MOBILITY

Students participating in Erasmus+ Student Mobility for Studies must follow the official procedure if they wish to make any changes to the Learning Agreement prepared before the beginning of their studies abroad.

In such cases, the student must first consult the Departmental Erasmus Coordinator and make the necessary changes through the Online Learning Agreement system.

For the changes to be valid, the document must be approved by all three parties:

  • The student,
  • The sending institution,
  • The host institution.

F- PROCEDURES AFTER THE MOBILITY

Students returning after completing their mobility period must submit the required documents within the period specified by the Erasmus Coordination Office.

The documents and procedures to be completed are listed below.

Certificate of Attendance

The Certificate of Attendance, issued by the host university, must be submitted to the Erasmus Coordination Office.

The document must clearly indicate the actual start and end dates of the student’s mobility period.

Transcript of Records

The official document showing the courses taken, credits earned and grades obtained abroad must be submitted to the Erasmus Coordination Office.

The document may be submitted by the student or sent directly by the host university.

Entry and Exit Documents

Copies of the relevant passport pages showing entry and exit stamps, or the official entry-exit document obtained through the e-Government system, must be submitted for the final grant calculation.

Final Report – Participant Report

Students are required to complete the online Participant Report concerning their Erasmus+ experience and evaluation of the mobility period.

The relevant questionnaire is sent to the student’s e-mail address.

Completion of the report is one of the obligations that must be fulfilled before any remaining grant payment can be made.

6. Academic Approval Form (After Mobility)

Students must prepare the Academic Approval Form (After Mobility) on the basis of the approved Learning Agreement and the Transcript of Records issued by the host university.

This form indicates the academic equivalents and recognition at Ankara Science University of the courses completed abroad.

H- ACADEMIC RECOGNITION PROCESS

The recognition of the academic achievements of students who have completed Erasmus+ Student Mobility for Studies is carried out in accordance with an established procedure.

Within this framework, the student submits the Transcript of Records issued by the host university, together with the Academic Approval Form (After Mobility) prepared in accordance with the Learning Agreement, to the Erasmus Coordination Office.

The relevant documents are forwarded by the Erasmus Coordination Office to the Departmental Erasmus Coordinator and the appropriate academic units for examination and approval.

Following the completion of all approval procedures, the student’s Transcript of Records and signed Academic Approval Form (After Mobility) are forwarded by the Erasmus Coordination Office to the relevant departmental secretariat through official correspondence.

Successfully completed courses and credits are recorded in the student’s academic record at Ankara Science University.

Information concerning the completed Erasmus+ mobility is included in the student’s Diploma Supplement.

At this stage, the recognition process for the courses, credits and academic work successfully completed abroad is finalised.
