Administrative Units

DUTIES AND AUTHORITIES OF THE EXECUTIVE ASSISTANT

  1. To provide an environment where the Rector Office can work effectively and efficiently, prepare the daily work program in accordance with the given instructions, organize the meetings they will hold, organize their domestic and international duties, ensure the execution of representation and protocol services,
  2. To evaluate the Rector's limited time most efficiently with the proper appointment flow,
  3. To determine the procedures to be applied in the preparation and sending of greeting cards for religious and national holidays and special day celebrations on behalf of the Rector, to support the Directorate of Press and Public Relations,
  4. To determine the procedures to be applied to the documents transferred to the Executive Assistant,
  5. To determine the procedures to be carried out for the preparation of the folder spines and separators of the files prepared according to the Standard File Plan to archive the documents sent to or from the Executive Assistant,
  6. To support the Directorate of Press and Public Relations in all protocols, visits, and ceremonies of the Rector and Vice-Rectors,
  7. To perform other duties assigned by the Rector,
  8. To carry out the works and processes of the Authority, to announce and follow the orders and instructions, to provide and submit the requested information and documents on time from inside and outside the institution to the Authority,
  9. Providing all phone calls of the Rectorate and forwarding appointment requests
  10. To monitor and follow up the works of the units in accordance with the orders of the Rectorate,
  11. To check the letters submitted to the authority for signature in terms of correspondence rules, to make necessary corrections, if any, and send the signed, transferred, or completed works to the relevant places,
  12. To conduct research and investigations on the subjects requested by or submitted to the Authority, to provide supplementary information and documents,
  13. To make routine internal correspondence on matters related to the Executive Assistant Unit; to execute the registration, transfer, filing, and follow-up works as well as the correspondence of the Office such as  congratulations, thanks, condolences, etc.,
  14. To prepare the unit activity report of the Executive Assistant Unit,
  15. To distribute the duties of the personnel working in the Executive Assistant unit by the Executive Assistant, control and organize their work, conduct the necessary studies for increasing the work efficiency of the personnel, training, and education,
  16. To ensure the organization and order of the archive of the Executive Assistant Unit, to ensure filing and archiving of any writings and confidential documents required to be kept in an orderly manner,
